NHA 2026 GCFFI Industry Partner & Sponsor Agreement
By registering as an Industry Partner, Sponsor, Exhibitor, or Company Representative for the Naval Helicopter Association (NHA) 2026 Gulf Coast Fleet Fly-In (GCFFI), you acknowledge and agree to the following:
Registration Authority
The individual completing this registration represents and warrants that they are authorized to register themselves and any additional company representatives included in this registration. By submitting this registration, you agree to these Terms and Conditions on behalf of yourself, your organization, and all registered attendees associated with your registration.
Payment
Registration, sponsorship, and exhibit space are not guaranteed until payment has been received and accepted by NHA. Any unpaid balances must be paid prior to the event unless otherwise approved in writing by NHA.
Cancellations & Refunds
All cancellation requests must be submitted in writing to NHA.
Unless otherwise approved in writing by NHA, no refunds will be issued for cancellations received within thirty (30) days of the event. Sponsorships, exhibit fees, advertising, and other contracted opportunities are generally non-refundable due to event planning and production commitments.
Any exception to this policy shall be at the sole discretion of NHA.
Exhibit Space Assignment
Exhibit booth assignments and sponsor benefits are subject to availability and are assigned by NHA. While every effort will be made to accommodate exhibitor preferences, NHA does not guarantee specific booth locations or exhibit placements.
NHA reserves the right to modify exhibit layouts, relocate booth assignments, or adjust the exhibit floor as necessary for operational, safety, or event management purposes.
Installation & Tear-Down
Exhibitors agree to install, staff, and dismantle their exhibits only during the official move-in and move-out times designated by NHA.
Early dismantling of exhibits before the official close of the exhibit hall is discouraged and may affect eligibility for future exhibit opportunities unless approved by NHA.
Exhibitors are responsible for removing all materials and property at the conclusion of the event. Any property left behind may be removed or disposed of at the exhibitor's expense.
Compliance
Exhibitors and sponsors agree to comply with all applicable federal, state, local, venue, military installation, and event regulations, including any security requirements, access procedures, safety rules, and installation policies.
Each exhibitor is responsible for the conduct of its employees, representatives, contractors, and guests.
Liability
Each exhibitor is responsible for its own property, displays, equipment, personnel, and activities during the event.
To the fullest extent permitted by law, NHA shall not be responsible for loss, theft, damage, injury, delay, interruption, or other claims arising from participation in GCFFI, except where caused by NHA's gross negligence or willful misconduct.
Exhibitors are encouraged to maintain appropriate insurance coverage for their property and activities during the event.
Event Changes
NHA reserves the right to modify the event schedule, venue, exhibit layout, programming, sponsorship benefits, or other event details as necessary. These Terms and Conditions, as well as event policies and procedures, may be updated at any time. Continued participation constitutes acceptance of any revisions.
Acceptance of Agreement
By checking the acknowledgment box and submitting this registration, you certify that you have read, understood, and agree to these Terms and Conditions on behalf of yourself and all individuals included under this registration. You further acknowledge that you have the authority to bind your organization to these terms where applicable.
