NHA 2026 Gulf Coast Fleet Fly-In (GCFFI)

Acknowledgment, Assumption of Risk, Waiver & Release of Liability

By registering for and participating in the Naval Helicopter Association (NHA) 2026 Gulf Coast Fleet Fly-In (GCFFI) at Naval Air Station Whiting Field and associated venues in Milton and Pensacola, Florida, you acknowledge, understand, and voluntarily agree to the following:

Assumption of Risk

I understand that participation in GCFFI and its associated activities involves inherent risks that cannot be completely eliminated, including but not limited to personal injury, illness, permanent disability, death, property damage, theft, or other losses.

Activities may include, but are not limited to:

Attendance at conferences, meetings, social events, receptions, and networking events, Transportation provided to or from official GCFFI events, Physical activities, including the Aircrew Challenge, beach volleyball tournament, fitness competitions, games, and other recreational or athletic events, Running, swimming, lifting, carrying, pulling, climbing, jumping, diving, or other strenuous physical activities, Participation in outdoor events subject to heat, humidity, sun exposure, rain, wind, uneven terrain, insects, wildlife, and other environmental conditions, Attendance at events where food, alcoholic beverages, and nonalcoholic beverages are served, Presence in restaurants, bars, entertainment venues, beaches, athletic facilities, military installations, or other public or private venues.

I knowingly and voluntarily assume all risks associated with my participation, whether known or unknown, foreseeable or unforeseeable.

Medical Fitness

I certify that I am physically and medically capable of participating in any activities in which I choose to participate. I understand that I am solely responsible for determining my ability to safely participate and agree to discontinue participation if I believe conditions become unsafe.

I understand that NHA is not responsible for providing medical care and authorize emergency medical treatment if deemed necessary. I accept full responsibility for any resulting medical expenses.

Food and Beverage Acknowledgment

I understand that food and beverages may be provided by NHA, its sponsors, venues, caterers, or third-party vendors.

I acknowledge that NHA cannot guarantee that any food or beverage is free from allergens or ingredients that may cause allergic reactions or other adverse health effects. I accept full responsibility for determining whether food or beverages are appropriate for my dietary restrictions, allergies, or medical conditions.

To the fullest extent permitted by law, I release NHA from any liability arising from foodborne illness, allergic reactions, choking, or any injury or illness associated with food or beverage consumption, except where prohibited by applicable law.

Recreational and Athletic Activities

I understand that participation in recreational and athletic activities, including but not limited to the GCFFI Beach Volleyball Tournament, Aircrew Challenge, and other physical competitions, involves risks including collisions with other participants, falls, diving injuries, strains, sprains, fractures, dehydration, heat-related illness, and other serious injuries.

I voluntarily choose to participate and accept all risks associated with these activities. I understand that participation is entirely voluntary and that I may decline participation at any time.

Alcohol and Personal Conduct

Alcohol may be available at certain GCFFI events.

If I choose to consume alcohol, I agree to do so responsibly and in accordance with all applicable federal, state, local, and military regulations. I understand that I am solely responsible for my actions, decisions, transportation, and conduct before, during, and after consuming alcohol.

NHA assumes no responsibility for any injury, damage, accident, citation, arrest, or loss resulting from my consumption of alcohol or impairment.

Waiver and Release of Liability

To the fullest extent permitted by law, I release, waive, discharge, covenant not to sue, and hold harmless the Naval Helicopter Association, its officers, directors, employees, volunteers, members, agents, sponsors, exhibitors, contractors, vendors, event venues, military installations, affiliates, successors, and assigns from any and all claims, demands, liabilities, causes of action, damages, losses, costs, expenses, or attorney's fees arising out of or relating to my attendance at or participation in GCFFI and any related event, including but not limited to claims arising from:

Personal injury, Illness or disease, Food-related illness or allergic reactions, Heat-related illness, Athletic or recreational activities, Property damage or theft, Transportation, Negligence of other participants, Death.

This release applies regardless of whether the claim arises before, during, or after the event, except where prohibited by applicable law or in cases of gross negligence or willful misconduct.

Photography and Media Release

I grant NHA the irrevocable right to photograph, record, livestream, or otherwise capture my likeness, voice, name, and image during GCFFI and related events.

I authorize NHA to use these materials for promotional, educational, historical, archival, fundraising, marketing, and other lawful purposes in any media now known or later developed without compensation or additional approval.

Travel and Off-Site Activities

I understand that attendance at restaurants, beaches, hotels, recreational venues, transportation, and activities outside official GCFFI programming is undertaken entirely at my own risk.

NHA does not assume responsibility for any personal travel arrangements, lodging, privately organized activities, or transportation not officially provided or coordinated by NHA.

Personal Property

I understand that I am solely responsible for my personal belongings. NHA is not responsible for any lost, stolen, or damaged personal property during GCFFI or related activities.

Consent to Share Information

I consent to the display of my name, organization, company, and other information that I voluntarily provide within the GCFFI Attendee Hub for networking and event purposes. I understand this information may be visible to other registered attendees.

Data Liability Waiver

I acknowledge that while NHA takes reasonable measures to protect participant information, no electronic system is completely secure. I release and hold harmless NHA from liability arising from unauthorized access, disclosure, or use of my information by third parties beyond NHA's reasonable control.

Binding Agreement

I acknowledge that this Agreement constitutes a legally binding waiver and release of liability.

By checking the acknowledgment box and submitting my registration, I certify that:

I have carefully read and fully understand this Agreement, I voluntarily accept and agree to all terms, I understand that I am giving up certain legal rights, including the right to bring certain claims against NHA and the other released parties, I am at least 18 years of age, or I am registering under the authority of my parent or legal guardian, who agrees to these terms on my behalf.
